
How Does Estimation Work on Native Spaces?
Setting the right price for your venue can feel complex. To make things easier, Native Spaces has developed an automatic estimation system that allows organizers to get a first idea of an event’s budget. This system is based on the pricing you set in your dashboard and adapts to factors such as duration, number of guests, and additional services.

In this article, we explain how estimation works, why it’s useful, and how you can configure your pricing to attract more bookings.
💡 Why an Estimation System?
The goal is twofold:
- To give organizers a clear and quick idea of the cost of an event at your venue.
- To allow you, as a host, to better control your pricing based on duration, number of guests, and included services.

With this system, you can:
- Show transparency to organizers: they instantly see a clear estimate, including all fees. This builds trust and avoids surprises later.
- Attract more serious requests: realistic prices naturally filter out non-relevant inquiries, so you receive more messages from genuinely interested clients.
- Optimize your revenue: adapt your pricing based on the type of event (wedding, seminar, film shoot, etc.), number of guests, or season, ensuring your venue is valued at the right price.
⚙️ How Is the Estimate Calculated?
The calculation is based on several elements you configure in your dashboard:
🕒 1. Time slots
For each time slot (Half-day (4–5h); Day (~9am–6pm); Evening (~6pm–midnight); Full day + evening (~9am–midnight)), you must set a base price.
⚠️ This base price should always include VAT (if applicable), the Native Spaces commission, and any additional fees you charge, such as minimum cleaning, a venue manager, or other fixed costs. By including everything upfront, you ensure a realistic estimate for organizers.
👥 2. Number of guests & seasonality
To make the estimation as accurate as possible, it’s important to anticipate all factors that could affect pricing — especially the number of guests and seasonal variations.
A. Guest numbers
If your pricing increases with group size, you can set an additional charge per person beyond the number included in your base rate. If your pricing doesn’t change based on group size, or if your model is based solely on a minimum spend, simply set the additional charge to €0.
B. Seasonal pricing
You can also adjust your rates depending on certain dates or seasons. For example, you might set a “Summer High Season” or “Fashion Week” period and automatically apply a percentage increase during those dates.

🏡 3. Accommodation (optional)
Pricing can also vary if organizers request accommodation. You can set a nightly rate that is separate from the event rental price.
Two options are available:
- A flat rate for the privatization of all rooms,
- Or a per-room rate.
By entering both, the system will automatically apply the option that best matches the client’s request. This way, the estimated total combines both event rental and accommodation when needed.
🎁 Packages for Common Events
Hosts now have the option to create ready-made packages for common events. Packages make your offer clearer and more attractive, since they present a simple, ready-to-book formula with transparent pricing and included services. The result: more requests, stronger engagement, and higher conversion rates. And of course, you can always customize packages later when sending a proposal.
Examples of packages you can create include daytime meetings and seminars, residential seminars, and weddings.
A. Daytime meetings and seminars
You can define half-day rates (venue rental + coffee break, per guest) or full-day rates (venue rental + lunch + two coffee breaks, per guest), with a minimum number of guests.
B. Residential seminars
Create a “1 day + 1 night” package that includes the meeting room, coffee breaks, two meals, and overnight accommodation, with a per-guest rate and minimum group size.
C. Weddings
Offer a wedding package that includes venue rental, furniture, sound system, and other equipment. You can also specify if the package includes full days or overnight stays, as well as optional extras such as festive dinners or brunches with per-guest pricing.

Once your pricing is set, take a few minutes to test your listing yourself:
- Visit your venue page as if you were an organizer and look at it from their perspective.
- Run an estimation simulation by entering a date, time slot, and guest number.
- Review the displayed price and make sure it matches what you actually want to charge.
